Job Description:
The Admin Assistant is to provide comprehensive administrative support to the executive team, ensuring smooth and efficient operation of the organization. Admin Assistant will play a critical role in managing schedules, coordinating meetings and events, handling correspondence, and supporting special projects and initiatives.
NATIVE PREFERENCE
Preference in hiring is given to the most qualified applicant. However, when candidates for an open position are determined to be equally qualified, Native American candidates will have preference for hiring purposes. This means that if the qualifications of the best candidates are comparable, the Native American candidate is given preference. The following order of preference shall be adhered to when hiring: (1) Members of a tribe; (2) Spouses or domestic partners (certified through Tribal Court or the State of California) of members of a tribe; 3) Parents of children of there tribe; 4) All other documented Native Americans; 5) All other applicants in accordance with Title 25, U.S. Code, Section 472 and 473. Administrative Assistant
The Administrative Assistant provides critical clerical and operational support to the Native C.O.R.E. team, ensuring smooth coordination, organization, and compliance of all grant-funded activities across San Joaquin, Stanislaus, and Tuolumne Counties. This role keeps the administrative foundation of the program strong, enabling staff to focus on community engagement and prevention work. Assist project coordinator and team with additional duties as needed.
Primary Responsibilities: Program Support & Coordination
- Manage calendars, meeting coordination, and event logistics for all COIPP-related activities.
- Assist with travel, mileage logs, and scheduling for outreach staff.
- Prepare and distribute agendas, minutes, and follow-up notes for internal and partner meetings.
Documentation & Reporting
- Maintain accurate attendance logs, sign-in sheets, and contact lists for training, community events, and outreach.
- Input and organize data for quarterly and annual grant reports.
- Assist with compiling documentation for audits, evaluations, and compliance checks.
Communications & Outreach Assistance
- Support email correspondence and phone inquiries from community partners, participants, and service providers.
- Assist with the creation, editing, and distribution of flyers, invitations, and informational materials.
- Maintain organized digital and physical files of outreach documents and resources.
Procurement & Budget Support
- Track outreach and Narcan supply inventory.
- Prepare purchase requests and invoices for supplies, stipends, and materials.
- Support budget reconciliation and reporting under the supervision of the Project Coordinator and Finance Office.

Suggested Qualifications:
- AA/ Bachelor's degree or equivalent experience in business administration, communications, or a related field preferred.
- Minimum of 5 years of experience in executive support, administrative assistance, or office management, preferably in a nonprofit or corporate environment.
- Strong organizational and time management skills, with the ability to prioritize tasks and manage competing deadlines.
- Excellent communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
- Detail-oriented with a high level of accuracy in data entry, document preparation, and information management.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive and resourceful, with a solutions-oriented approach to problem-solving.
- Commitment to the mission and values of Native C.O.R.E., including a passion for social justice and equity.
- Knowledge of/and or experience working with Native American population.
Compensation: $20.00 - $25.00 per hour
